Using Our Meeting/Class Rooms


CONDITIONS of USE for LMB500

· Elevator to 5th floor is restricted to FOB only access.  Please contact Hilda (hilda@civ.utoronto.ca) prior to event to arrange access for event and guests.   Pick up  FOBs from Hilda Jerina in GB105, Civil Engineering Department.

· You have exclusive use of the room for the booking period only.

· A laptop with VGA connection is required. If you do not have one, you need to arrange to borrow one from your own Department.

· This meeting room is covered by UofT wireless network.

· Videoconference capabilities. Must prearrange.

· You are responsible for ensuring that the room is returned to its original “clean” state. Tables and chairs set properly in a “classroom style” and all garbage removed; otherwise, future bookings may be withheld.

· You are responsible for the actions of the caterers. All Catering must be cleaned up and removed immediately after the meeting.

· Upon leaving the room, ensure that the door is locked and immediately return the Fob to GB105.


CONDITIONS of USE for SF3103 (ITS Boardroom)

· Pick up the chubb card from Hilda Jerina in GB105, Civil Engineering Department.

· You have exclusive use of the room for the booking period only.

· A laptop with VGA connection is required. If you do not have one, you need to arrange to borrow one from your own Department.

· This meeting room is covered by UofT wireless network.

· Telephone line available for local calls only. Phone set not provided.

· This room has a Chubb alarm, motion detectors, door sensors, and security cameras which records all activities within this research facility. Do not hold or jam the door open, and use only the Chubb card to open the door, otherwise the alarm will sound and police will be dispatched.

· Use only the fob (not a key) to open the door. Access to adjacent rooms is only possible via this room, so there is the possibility of being disturbed. Etc… probably some more things I’ll think about.

· If you are the first user of the day, the alarm needs to be disabled BEFORE ENTERING. If not, the alarm will sound in room, hall and at the Campus Police office. Campus Police and Alarm company will arrive.

· If you are the last user in the area for the day, the alarm system needs to be armed just before leaving, using a special code & the access card on the arming station which is within the computer lab. However, make sure that there are no other users in the meeting room, adjacent computer lab and the room behind the screens. All lights need to be turned off if they are the last users, EXCEPT a single set of pot lights in each of the lab & board room which need to be left on.

· You are responsible for ensuring that the room is returned to its original “clean” state. Tables and chairs set properly in a “boardroom style” and all garbage removed; otherwise, future bookings may be withheld.

· All Catering must be cleaned up and removed immediately after the meeting.

· Upon leaving the room, ensure that the door is locked and immediately return the Chubb card to Hilda in GB105.


 CONDITIONS of USE for SF1009 (RockFracture Boardroom)

· Please pick up the FOB from Hilda Jerina in GB105, Civil Engineering Department.

· You have exclusive use of the room for the booking period only.

· The door is on an alarm. Do not hold or jam the door open. Use only the fob (not a key) to open the door.

· Important: There are 3 Staff offices adjacent to this conference room. Staff enter and exit by using the main conference room door. Hence, people will be walking thru the conference room during your meeting.

· A laptop with VGA connection is required. If you do not have one, you need to arrange to borrow one from your own Department.

· This meeting room is covered by UofT wireless network.

· No phone line.

· You are responsible for ensuring that the room is returned to its original “clean” state. Tables and chairs set properly in a “boardroom style” and all garbage removed; otherwise, future bookings may be withheld.

· You are responsible for the actions of the caterers or any other outside vendor. All Catering and other items MUST be cleaned up and removed IMMEDIATELY AFTER the meeting.

· Upon leaving the room, ensure that the door is locked and immediately return the FOB to Hilda in GB105.

· This meeting room is covered by UofT wireless network. Fixed IP address provided by Civil Department. No phone line.

· You are responsible for ensuring that the room is returned to its original “clean” state. Tables and chairs set properly in a “classroom style” and all garbage removed; otherwise, future bookings may be withheld.

· You are responsible for the actions of the caterers or any other outside vendor. All Catering MUST be cleaned up and removed immediately after the meeting.

· Upon leaving the room, ensure that the door is locked and immediately return the FOB to Hilda in GB105.
